What Timed Agenda is
Timed Agenda lets you define Topics with individual time limits. Each Topic consists of a title, a duration, and an optional description. When a Topic has a defined time, a timer bar appears automatically at the top of the Stage. The bar changes color as time runs out and shows overtime when the limit is exceeded. The next Topic does not start automatically — you activate it manually in the Timed Agenda bar.
When to use Timed Agenda
- When you want a structured, time‑boxed meeting flow.
- When discussions tend to run long or lose focus.
- When multiple presenters or Topics need equal time.
- When you want a clear visual indicator of remaining time.
- When Follow‑Me should guide participants through a predefined sequence.
- When each Topic should have a clear purpose and time frame.
Create your Topics
- Open StageTools in your Teams meeting.
- Click Timed Agenda in the left sidebar.
- Add Topics using Add Topic.
- Give each Topic a title and a time limit.
- Add an optional description.
- Reorder Topics by dragging them up or down.
Topics are simple by design — they contain only a title, a duration, and a description. No attachments or content are assigned to a Topic.

Start the meeting
As soon as a Topic has a defined time, the Timed Agenda bar appears automatically at the top of the Stage. The timer does not start on its own — you start it manually.
- Define a time for at least one Topic.
- The Timed Agenda bar appears automatically at the top of the Stage.
- Click the Play icon to start the timer for the active Topic.
- The timer bar becomes increasingly red as time runs out.
- If the time limit is exceeded, the bar clearly shows the overtime.
The next agenda item does not start automatically. You activate it manually by clicking it in the Timed Agenda bar.
During the meeting
Each Topic runs on its own timer. The timer bar at the top of the Stage shows the remaining time and changes color as you approach the end.
- Pause or resume the timer at any time.
- Extend the time for the current Topic.
- The timer shows overtime once the limit is exceeded.
- Switch to the next Topic manually by clicking it in the Timed Agenda bar.
- Use Multi View to show relevant content for the current Topic.
- Use Follow‑Me to keep everyone aligned.

Content during Topics
Topics themselves do not contain content. Instead, you decide what to show on the Stage while a Topic is active. You can freely use:
- Documents
- Screenshots
- Multi Share streams
- Notes or Tasks
- Annotated content
- Captures from earlier in the meeting
This keeps Topics simple and flexible while giving you full control over the Stage.
How Timed Agenda works with other modules

Best practices
- Keep Topics short and focused.

- Capture key moments and attach them to Notes or Tasks.
- Extend time only when necessary to maintain discipline.
Limits and notes
- Topics do not advance automatically.
- The next Topic must be activated manually in the Timed Agenda bar.
- Timer color changes indicate urgency and overtime.
- Only one agenda can run at a time.
- Participants cannot change the active Topic while someone else is leading with Follow‑Me.
- Time extensions do not affect subsequent Topics unless manually adjusted.
